HOA Bookkeeping and Administration

Financial and administrative support for self-managed communities
Running an HOA takes more than collecting dues and paying a few bills. There are homeowner accounts to maintain, bank accounts to reconcile, budgets to watch, records to keep, payments to track, and financial questions that need clear answers.
Lund Ledger provides bookkeeping and administrative support for smaller, self-managed homeowners associations that want reliable financial records and consistent day-to-day administration without handing control of the community over to a full-service management company.
Your Board stays in control.
I handle the financial and administrative work that keeps the Association organized.

Accurate books give your Board a clear picture of where the Association stands and where its money is going.
Services may include:
-
Bank and reserve account reconciliations
-
General ledger maintenance
-
Transaction coding and review
-
Accounts payable
-
Vendor bill entry and payment processing
-
Income and expense tracking
-
Reserve fund accounting
-

Coordination with the Association's CPA or tax preparer
Financial reports are prepared in a format the Board can actually understand and use when making decisions.

Assessment Billing & Homeowner Accounts
For many smaller HOAs, assessment season creates most of the year's administrative workload.
Lund Ledger can handle the financial side of that process from billing through payment tracking.
Services may include:
-
Annual or periodic assessment billing
-
Maintaining individual homeowner account balances
-
Posting homeowner payments
-
Tracking unpaid assessments
-
Monitoring delinquent accounts
-
Applying approved late fees and interest
-
Routine payment reminders and delinquency notices
-
Homeowner account statements
-
Tracking credits and account adjustments
-
Accounts Receivable aging reports for the Board
-
Reconciliation of assessment receipts to bank deposits
Collection activity is handled according to policies established by the Board and the Association's governing documents. Legal collection matters remain with the Board and its attorney.

Boards should not have to decipher their own financial statements.
Lund Ledger can help prepare and maintain the financial information your Board needs throughout the year, including:
-
Annual budget preparation and support
-
Prior-year comparisons
-
Budget-to-actual reporting
-
Cash balance reporting
-
Reserve balance tracking
-
Accounts Receivable reports
-
Accounts Payable reports
-
Year-end financial summaries
-
Assistance identifying unusual expenses or budget variances
-
Financial information for annual homeowner meetings
The goal is straightforward: the Board should know what the Association has, what it owes, what homeowners owe the Association, and whether spending is tracking with the approved budget.
Budgeting & Financial Reporting

HOA Records & Financial Administration
Good HOA administration depends on keeping information current and accessible.
Administrative support may include:
-
Maintaining homeowner contact and account records
-
Updating ownership information provided to the Association
-
Maintaining financial and administrative records
-
Organizing vendor invoices and supporting documentation
-
Maintaining contracts and financial records
-
Tracking insurance and other recurring financial documents
-
Maintaining HOA bookkeeping or homeowner-account software
-
Preparing routine financial correspondence
-
Providing requested account information to homeowners
-
Maintaining documentation supporting Board-approved financial decisions
Services can be tailored to the systems your Association already uses rather than forcing the Board into an unnecessarily complicated platform.

Financial Communications
Some financial administration inevitably involves communicating with homeowners.
Depending on the Association's needs, Lund Ledger can assist with:
-
Assessment notices
-
Payment confirmations
-
Routine delinquency reminders
-
Homeowner account questions
-
Annual financial communications
-
Budget notices
-
Board-approved financial announcements
-
Routine administrative notices related to Association records
Lund Ledger communicates on behalf of the Association according to policies and direction established by the Board.

Support for Your Volunteer Board
A self-managed HOA should still be self-managed. Hiring administrative help does not mean giving up Board control.
Lund Ledger can provide the financial information and administrative follow-through your directors need while the Board continues to make the decisions.
The Board remains responsible for matters such as:
-
Association policy
-
Annual budget approval
-
Major expenditures
-
Reserve spending decisions
-
Contracts
-
Vendor selection
-
CC&R enforcement decisions
-
Architectural decisions
-
Fines and waivers
-
Legal matters
-
Litigation
-
Major collection decisions
I provide information, bookkeeping, administration, and follow-through. Your Board decides what the Association does.
What HOA Administration Does Not Include
Lund Ledger provides financial and administrative support only. Services do not include on-site property management, maintenance or vendor supervision, inspections, project management, legal or professional advisory services, or rental management.
When those services are needed, the Board remains responsible for selecting and directing the appropriate providers.
Designed for Smaller, Self-Managed HOAs
Lund Ledger’s HOA services are designed primarily for smaller associations, generally up to about 200 homes, that need reliable bookkeeping, assessment administration, financial reporting, and routine financial support without the cost of full-service management.
Pricing is based on the actual workload involved, including the size of the community, assessment frequency, transaction volume, number of accounts, delinquency activity, reporting needs, and the condition of the existing books. Associations with annual assessments and relatively quiet activity during much of the year can be priced accordingly.
For boards that are comfortable making decisions but need experienced help keeping the financial side organized, Lund Ledger can provide a practical middle ground.
Reliable books. Organized financial administration. A Board that stays in control.
